FedEx Missing or Invalid Account Number

Shipping errors don’t just create operational headaches—they can also trigger unnecessary fees. One of the most overlooked accessorial charges from FedEx is the Missing or Invalid Account Number fee.

While it may seem minor on a per-package basis, this fee can quietly add up across your shipping volume if it’s not properly managed. A FedEx invalid account fee applies if the shipper does not provide a valid FedEx account or an accurate credit card number for the selected billing option. For FedEx Ground, this includes requests to bill accounts without a U.S. or Canadian billing address.

This FedEx missing or invalid account surcharge can apply to all FedEx service levels.

How much is the Fee?

FedEx has steadily increased this charge over the past few years:

What Is the FedEx Missing or Invalid Account Number Fee?

The FedEx Missing or Invalid Account Number fee is applied when a shipment is processed without a valid billing account.

This typically occurs when:

  • The account number entered is incorrect
  • The account is inactive or closed
  • The billing party rejects the shipment charges
  • No account number is provided at all

When this happens, FedEx must step in to identify the correct billing party and manually process the shipment charges, resulting in an additional fee.

FedEx will assess this special handling fee when no account number appears on the airbill or when an incomplete, inaccurate, or invalid account number appears on the airbill in “Bill Sender,” “Bill Recipient,” or “Bill Third Party” transactions. If a “Bill Sender,” “Bill Recipient,” or “Bill Third Party” package is received without a FedEx account number, FedEx will attempt to determine the correct account from records. FedEx will bill the account for all charges, plus the special handling fee.

FedEx will apply the invalid account fee to all express, ground, and freight packages. Additionally, FedEx will assess a $20 special handling fee to the shipper for any fund check or electronic funds transfer that is dishonored for any reason. An account number is invalid if it is not the correct account number for the bill-to party. Or the account number of a recipient or third party fails to pay the shipping charges.

How to fix a FedEx Missing or Invalid Account Number Fee

With FedEx Billing Online, you can dispute an invoice or shipment. As a rule, you should submit disputes within 30 days of the invoice date or the invoice due date. How to dispute an invoice:

  1. Log in to FedEx Billing Online
  2. On the ‘Account summary’ page, select the invoice you want to dispute
  3. In the ‘Invoice detail view’ section, click ‘Dispute invoice’
  4. In the ‘Dispute entire invoice’ section, select a reason for the dispute
  5. Click ‘Dispute’

How to Avoid the Missing or Invalid Account Number Fee

The good news: this is one of the most preventable FedEx fees. Here are a few ways to reduce or eliminate the FedEx invalid account fees:

  • Validate Account Numbers Before Shipping
    • Implement processes or tools that verify billing accounts before labels are created.
  • Clean and Maintain Customer Data
    • Regularly review and update stored account numbers—especially for repeat customers.
  • Limit Third-Party Billing When Possible
    • The more control you have over billing, the fewer issues you’ll encounter.
  • Monitor Your Shipping Invoices
    • Most companies don’t realize how often this fee occurs until it’s specifically tracked.

The FedEx Missing or Invalid Account Number fee is a classic example of a small charge that can create a big impact over time. It’s preventable, it’s measurable, and with the right visibility, it’s fixable.
